Refund, Deferral & Payment Terms

These Refund, Deferral, and Payment Terms (“Policy”) govern the financial and service engagement relationship between you (the “Client”) and GradBrew in relation to any admissions consulting, mentorship, or educational advisory services purchased from or rendered by GradBrew. This Policy is legally binding, and acceptance of our services constitutes express acknowledgment and agreement to the terms herein. This Policy is subject to the overarching Terms & Conditions of GradBrew. In case of any inconsistency or conflict, the Terms & Conditions shall prevail and supersede.
1. Refund Policy
General Principle
GradBrew follows a strict no-refund policy post-commencement of any service or after the 14-day eligibility window, whichever is earlier. Refunds are only considered under very limited and objectively verifiable circumstances, as detailed below.
Refund Eligibility Criteria
A full refund may be processed within 14 (fourteen) calendar days from the date of purchase, provided that all of the following conditions are met cumulatively:
- No expert, mentor, or consultant session (virtual or otherwise) has been scheduled, conducted, or allocated.
- No content, including but not limited to CVs, SOPs, essays, LORs, or other admissions materials, has been uploaded, submitted, reviewed, commented upon, or accessed.
- No service feature has been unlocked or utilized via the client dashboard or internal CRM, including:
- Pre‑recorded video modules or strategy briefings;
- Templates, worksheets, samples, or formats;
- AI‑based document generation or enhancement tools;
- Internal feedback loops with mentors or editors;
- Activation of any “In Progress,” “In Review,” or “Delivered” status by the GradBrew team.
- No school list has been proposed, discussed, analyzed (manually or via AI), or finalized.
- No written or verbal guidance has been rendered regarding application strategy, school targeting, or timeline planning.
Refund Exclusions
Refunds shall not be granted under any of the following scenarios:
- The 14‑day eligibility window has elapsed, regardless of service usage.
- Any service component has been accessed, even partially, including consultant calls or review of documents.
- Client expresses dissatisfaction based on subjective outcomes, such as test scores, admission rejections, scholarship status, or visa denials.
- Service discontinuation arises from personal, professional, financial, or immigration‑related changes, including but not limited to work relocation, family emergencies, or changed priorities.
- GradBrew has reason to believe the client has engaged in unethical, fraudulent, or misleading conduct, including submission of false documents or misrepresentation.
- Refunds are not applicable to partial services or consumed sessions.
Refund Review & Timelines
- All refund requests must be submitted in writing to [email protected] with clear identification, purchase details, and justification.
- Refunds are subject to internal audit of service access records, consultant logs, and timestamped activities.
- Approved refunds will be processed within 10 to 14 business days from the date of written confirmation.
- Payment gateway charges, currency conversion fees, or platform processing costs will be deducted from the refund amount.
2. Deferral Policy
GradBrew allows for a one-time deferral of services in justified academic or personal circumstances, subject to the following terms.
Eligibility for Deferral
You may request a deferral of your GradBrew package only if:
- The deferral request is made within 12 (twelve) months of the original purchase date.
- The request is submitted in writing to [email protected] and acknowledged in writing by GradBrew.
- The client has unused services, such as pending school applications, unutilized document reviews, or remaining mentoring sessions.
- The deferral is tied to a verifiable academic timeline adjustment, such as test rescheduling, university program deferral, or a gap year with a clear plan to resume.
Terms and Duration
- Only unused services will be carried forward. Consumed sessions or deliverables (document reviews, mock interviews, finalized applications, etc.) will not be reinstated.
- Deferral is valid for up to 6 (six) months beyond the standard 12‑month engagement window.
- Consultant or mentor availability is not guaranteed post‑deferral. Alternate assignments may be made at GradBrew’s discretion.
- A deferral does not imply price protection. If your service tier, school list, or mentorship requirements change, a price differential may be applicable.
- Deferral benefits are non‑transferable and cannot be passed to other individuals, cohorts, or programs.
Non‑Eligibility for Deferral
Deferral requests shall be declined if:
- Made after the 12‑month usage period.
- All services have been consumed or partially fulfilled.
- No written confirmation exists from GradBrew acknowledging the deferral.
- The deferral reason lacks a direct nexus to the admissions process (e.g., professional sabbatical, job change, immigration complications).
3. Payment Terms
Installment Plans
GradBrew may, at its discretion, permit payment in two equal installments for eligible packages:
- Installment 1 (50%) is required to commence onboarding and is non‑refundable under all circumstances.
- Installment 2 (50%) must be paid within 10 calendar days of invoice issuance, or prior to the second school’s document engagement, whichever is earlier.
- Access to subsequent schools, mock interviews, or final deliverables is contingent upon complete payment.
Failure to Pay or Delays
- Non‑payment or delay beyond the due date may result in temporary suspension of services, including consultant access and school document processing.
- Deadlines missed due to delayed payment are entirely the client’s responsibility and will not result in extensions or exceptions.
- Reinstatement of paused services may incur a rescheduling or late fee.
- Delays beyond 14 calendar days from the due date may lead to termination of services, with no refund of the initial installment.
General Payment Conditions
- Installment plans are available only for direct‑to‑client engagements, not for corporate‑sponsored, subsidized, or institution‑contracted clients.
- All payments must be made via approved channels (e.g., Razorpay, PayPal, bank transfer). International fees, if applicable, are borne by the client.
- No services shall auto-renew or be billed unless explicitly agreed in writing.
- Once a package is fully paid, the Refund Policy above will apply in full.
4. Governing Clauses and Priority
- This Policy is an annexure to the Terms & Conditions, Privacy Policy, and Intellectual Property Terms of GradBrew.
- In the event of conflict, the Terms & Conditions shall prevail, followed by this Policy, and then the Privacy Policy.
- GradBrew reserves the right to interpret all clauses in a manner consistent with its business interests, provided such interpretation does not contravene applicable Indian law.
5. Amendments and Notifications
GradBrew may revise this Policy periodically to reflect legal, operational, or commercial changes. Clients will be notified of material updates via email or platform banner.
- The Effective Date at the top reflects the most recent version.
- Continued use of our services implies acceptance of any updates.
- For legacy clients, the version active at the time of purchase shall apply unless otherwise notified.
